Terms of use

1. Purpose

These terms govern the use of Normalex, a set of free tools published by Avlex Belgium SRL, Boulevard de l'Empereur 10, 1000 Bruxelles, enterprise number 1036.582.778 ("Avlex", "we"). By using the tools, you accept these terms.

2. The service

  • Normalex offers free tools that help lawyers run their firm in line with their professional obligations: anti-money laundering, artificial intelligence, fees, GDPR, deontology and pro deo.
  • Results, documents and every export (PDF, DOCX, CSV, ICS) are free and require no account. Free exports carry a small Normalex header.
  • The firm features (the firm's letterhead on exports, the firm's details pre-filled in the generators, the encrypted vault, the full "new client" pack in one click) are free as well. You unlock them by verifying your e-mail address.
  • The data you enter stays on your device. We do not receive it.

3. The tools' role and the lawyer's responsibility

  • The tools assist you. They do not replace you.
  • Every document produced is a drafting aid based on the sources cited. It is to be reviewed and adapted by you; it is neither advice nor a guarantee of compliance.
  • You alone remain responsible for the documents you sign or hand over, for the risk assessment of your clients and matters, for checking the applicable rule and for the use you make of the result.
  • Every rule and template shows its source and the date on which it was verified. Check that they apply to your firm and your matter, and that they have not changed since that date.
  • The tools do not give legal advice. Normalex is not affiliated with any bar or supervisory authority; it does not release you from any obligation towards your bar or its president (bâtonnier, stafhouder).

4. Changes to the rules

Rules change: laws, bar regulations, guidance, thresholds, the pro deo point value. We update the tools when a rule changes, but cannot guarantee that every change is reflected as soon as it takes effect. Every tool has a "Report a problem" form: use it if a result or a clause looks wrong to you, or if a rule has changed.

5. Your data

You choose the data you enter and what you do with the result. You are the controller of the personal data of your clients and of third parties that you enter. Since Avlex does not receive that data, Avlex acts neither as a controller nor as a processor for it.

6. The encrypted vault

  • The vault is encrypted in your browser with a key derived from your passphrase. Neither the passphrase nor the key is ever sent to us.
  • If you forget the passphrase, nobody can open the vault again, not even Avlex.
  • Your browser may erase its data, for example if you delete it, in a private window or when you change devices. Export an encrypted backup regularly and keep it somewhere safe: your backups are your responsibility.
  • The vault does not replace the firm's file archive or the retention of documents that the law requires of you.
  • The encryption protects against casual access to the browser's storage. It does not protect against malware installed on the device.

7. Licence for the firm features

  • The licence is free, personal and valid for 12 months. You can renew it by confirming your e-mail address again.
  • It does not depend on any consent to receive communications.
  • You may not share, transfer or sell it.
  • You may not circumvent the e-mail verification or the licence checks.
  • We may revoke a licence in case of abuse or breach of these terms, or if we stop offering these features. Results, documents and exports remain free without a licence.

8. Acceptable use

You agree to:

  • use the tools lawfully;
  • request unlocking only with your own e-mail address;
  • not write names, case references or your clients' data in a problem report;
  • not disrupt the service, for example with mass automated requests or an intrusion attempt;
  • not circumvent the service's technical protection measures.

9. Availability

The tools are provided "as is" and "as available", with no guarantee of availability. We may change, suspend or discontinue them, in whole or in part, in particular for maintenance or security reasons.

10. Liability

To the extent permitted by Belgian law, Avlex is not liable for:

  • the consequences of a wrong document, assessment or result, or of a rule that has changed, since reviewing the document and checking the applicable rule is your task;
  • the use you make of the result, the documents and the exports;
  • the loss of data kept in your browser or in the vault, in particular if you forget the passphrase, if the browser erases it or if you made no backup;
  • indirect damage, such as loss of clients, revenue or data;
  • unavailability of the service.

These limits do not apply to our intentional misconduct, to damage to life or physical integrity (Belgian Civil Code, Article 5.89), or where mandatory rules, in particular consumer protection rules, prohibit them.

11. Intellectual property

The tools, their own code, texts, templates and design belong to Avlex Belgium SRL or its licensors. Open-source components remain under their own licences: see Credits. You may use, adapt and sign the documents produced for your firm's needs. We claim no rights over the data you enter or over the files you export.

12. Personal data

How your data is processed, including when you unlock or report a problem, is described in the privacy notice.

13. Changes

We may change these terms. The date of the last update is shown on this page. Significant changes are announced on the site. They apply to use after their publication.

14. Governing law and jurisdiction

These terms are governed by Belgian law. The courts of Brussels have jurisdiction, without prejudice to mandatory rules that designate another court, in particular in favour of consumers. If the language versions differ, the French version prevails.
